WhatsApp customer service

Your WhatsApp, without the repetitive work.

When customers reach you on WhatsApp, you should not have to stop working every time a message arrives.

We look at how you handle customers today and implement the simplest solution that works. That might mean organizing WhatsApp Business, using AI for repeated questions, configuring an existing tool or integrating a specific process. There is no reason to introduce a whole system if you do not need one.

  • A preview before deciding
  • Clear scope before delivery
  • Continuity without hidden dependencies

When WhatsApp starts creating work

  • “I take too long to reply.”

You are serving a customer, working, driving, in a meeting or handling something else. A message arrives and has to wait.

By the time you return, the customer has waited too long, or has already left.

Not every message needs you immediately. Simple questions can get an immediate answer, while conversations that need attention can reach you with the context organized.

  • “I answer the same questions all day.”

Hours. Starting prices. Service areas. How it works. What to bring. Which documents to send. Available appointments.

If the answer is almost always the same, typing it from scratch in every conversation probably makes little sense.

  • “Several people handle messages, and nobody knows what is pending.”

When two or three people share customer service, new questions appear: who is talking to this customer? Has anyone replied? Is something pending? Does someone on the team need to follow up?

Sometimes the problem is no longer replying faster. It is keeping track of conversations.

  • “I want automation, but I do not want robotic customer service.”

    It should not feel robotic.

Automation works best when it removes repetitive work.

If a customer asks for a person, an exception appears or the conversation needs human judgment, your team takes over.

The aim is to automate what makes sense, rather than everything possible.

Start with the simplest approach

  • You may only need a better WhatsApp Business setup

If message volume is still low, quick replies, a catalog, automatic messages and a better routine may solve much of the problem.

In that case, there is no need to invent an AI project.

  • If WhatsApp already offers what you need, we start there

Some businesses already have access to AI and automation features from Meta itself.

If those features fit your needs, using the native solution is usually better than adding another layer.

  • If something is missing, we look for an existing tool

You may need multiple agents, a shared inbox, scheduling, lead qualification or integrations that WhatsApp alone cannot cover.

Before developing software, we look for an existing solution that works without complicating your operation.

  • Custom software comes last

Development starts to make sense when your business has a specific requirement.

For example: querying your system, preparing a quote under your rules, checking availability, retrieving customer data or running a process that no existing tool handles well.

Configuration first. Existing tools next. Code when there is a reason.

What can be automated

  • Repeated questions

Hours, services, coverage areas, documentation, payment methods and other information with an established answer.

Automation can answer using your business information and stop when there is no reliable answer.

  • Initial customer intake

Instead of asking the same opening questions in every conversation, the service can identify what the customer wants and gather the necessary information.

Name, service, location, date, needs or any other information that helps your team continue.

  • Appointments and confirmations

With a reliable scheduling system behind it, WhatsApp can check times, record a choice and confirm the next step.

If someone still needs to check a calendar manually, the automation must respect that.

  • Routing to the right person

Not every conversation belongs in the same queue.

A new quote can go to sales. An existing customer may need support. An unusual situation can go directly to a person.

  • Processes that start on WhatsApp

Sometimes the conversation is only the beginning.

The next step may be recording a lead, querying a system, sending a document, creating a request or updating a tool your company already uses.

When it is worthwhile, we connect those parts.

Automation needs to know when to stop

  • A fast reply helps. A fast wrong reply does not.

Prices, deadlines, availability, commercial terms and other important information should only be automated when there is a reliable source for the answer.

If the situation falls outside the rules, information is unavailable or the customer wants a person, the conversation needs to reach someone.

AI where it saves time. People where they make a difference.

How it works

  • 1. You show us how you serve customers today

You do not need to prepare technical documentation.

Tell us who answers WhatsApp, what messages arrive, what you repeat throughout the day and where customer service becomes difficult.

Show us any tools you already use, too.

  • 2. We separate the problem from the tool

First, we work out what actually needs to change.

It may be response time, organization, repetitive work or the handoff between WhatsApp and another system.

Only then does choosing technology make sense.

  • 3. You receive a recommendation

We may recommend configuring WhatsApp Business better, using a WhatsApp or Meta feature, adopting an existing tool, connecting tools you already use or developing a specific part.

We also make recurring costs and important dependencies clear before you decide to proceed.

  • 4. If it makes sense, we configure it

We organize business information, configure rules, prepare automations and connect what was agreed.

We do more than deliver a prompt and call it a finished customer service system.

  • 5. We test conversations that could go wrong

Before relying on the service, we test questions outside the supplied information, requests for a person, ambiguous information, topic changes, prices or deadlines without a reliable source, messages outside working hours, conversations needing a handoff and answers the system must not invent.

The aim is to discover the limits before your customers do.

What you receive

  • A map of current customer service

What arrives through WhatsApp, who responds, what repeats and where the main bottlenecks are.

  • A recommended solution

What is worth configuring, buying, integrating or leaving as it is, with relevant external costs made clear.

  • Configured customer service

The business information, answers, rules, routing and automation needed for the agreed scope.

  • Tests

A set of conversations to check when the system answers correctly and when it should stop and call someone.

  • Instructions for your team

What is automated, what stays manual, how to take over a conversation and where to update information later.

You may not need AI at all

  • That is a possible answer.

If only a few messages arrive each day and quick replies plus a better routine solve the problem, that is probably enough.

If an existing tool does what you need at a reasonable cost, configuring it is better than funding your own version of the same thing.

If there is not enough volume to justify automation yet, continuing manually may also be the right decision.

Luminiware gains nothing by turning every WhatsApp account into a software project.

Common questions

  • Will I need to change my number?

    Not necessarily.

Keeping the number your customers already know is one of the first things we check when choosing a solution.

Some configurations let you keep using WhatsApp Business as usual; others change how the team handles messages. That needs to be clear before any migration.

  • Can my team still reply?

Yes, when the chosen setup includes human support.

How you take over depends on the solution: some teams keep using WhatsApp itself, while others use a shared inbox.

We choose with your team's current workflow in mind.

  • Will AI answer everything?

    No.

It should answer only when it has the information and authorization to do so.

When it does not know, risks giving a wrong answer or the customer wants a person, stopping and handing over is usually the best response.

  • Can you connect a calendar, CRM or another system?

    Often, yes.

But an integration is only worthwhile if it removes a real task.

Before connecting tools because it sounds useful, we look at what happens today and how much work the connection actually removes.

  • Do I need a chatbot?

    Perhaps not.

A chatbot is a tool. The problem may be organization, repeated answers, distributing conversations, scheduling or simply configuration.

    We start with the problem.

No hidden dependencies

  • Costs and accounts are clear before implementation

Third-party tools, subscriptions, usage costs and relevant limitations are discussed before implementation.

When a part requires your account, we prefer to keep it under your control wherever the infrastructure allows.

Any monthly maintenance from Luminiware is a separate, explicit engagement.

Your customer service should not depend on a supplier because someone forgot to explain the lock-in.

Who is responsible for the work

  • Vinícius Menezes

Vinícius Menezes is technically responsible for implementation. He is also CTO and cofounder of DefendaMe, where he works on digital evidence software.

At Luminiware, the person assessing your customer service is also technically responsible for the implementation.

If an existing tool can solve the problem, that may be our recommendation.

If you need integration or software, the technical conversation starts once we know why.
